The problem with most podcast notes templates is they try to do too much. You end up spending more time managing the system than actually capturing insights. After abandoning several elaborate setups, I stripped everything back to the basics.
What's in This Podcast Notes Template
This template includes only the essential fields that actually matter: episode identification, limited key takeaways that force prioritization, a quotes section for verbatim captures, action items for follow-through, and an optional connection field. No tags, categories, or rating systems -just the minimal structure needed to make podcast notes useful without becoming a second job to maintain.
- Episode title and link (so you can find it again)
- A "Key Takeaways" section - 3 bullets max, forces you to prioritize
- A "Quotes" section for anything word-for-word worth saving
- An "Action Items" section for stuff you actually want to do
- A "Related To" field to connect episodes (optional, don't overthink it)
That's it. No tags, no categories, no rating systems. The constraint of only three takeaways is intentional. If you can't narrow it down to three points, you probably weren't paying enough attention or the episode wasn't worth noting.
How to Use This Template for Podcast Notes
I don't fill this out while listening - that defeats the point of podcasts for me. Instead, I jot timestamps or keywords in my notes app, then spend 5 minutes after the episode filling in this template while it's fresh. The timing matters. If you wait until the next day, you'll forget the details. If you try to do it while listening, you miss chunks of the episode. Right after finishing seems to be the sweet spot.
Honestly, I skip the template for most episodes. I only use it for the ones that really hit. Maybe 1 in 10. Not every podcast deserves detailed notes, and pretending otherwise just creates noise in your system.
Why Notion Works Well for Podcast Notes
Notion works well for podcast notes because it combines searchability with accessibility from any device. When you remember something from an episode months later, you can search for keywords across all your notes and find it quickly. The database format also enables filtering by topic, searching within specific columns like quotes, and organizing episodes without complex folder structures. That said, any tool you'll actually open regularly will work -adapt this structure to your preferred app.

That said, the tool matters less than actually using it. If you prefer Apple Notes, Google Docs, or plain text files, adapt this structure to whatever you'll actually open.
